Make policy understandable before rollout
A leave workflow works best when employees know which types are available, what balance they have and who reviews the request. HR should confirm the company policy and applicable employment requirements before configuring balances and rules. Software defaults do not substitute for that decision.
Keep guidance close to the actual process. Explain where an employee submits dates, how holiday context affects planning and where the saved decision can be found. A short, accurate guide is more useful than a policy document that does not match the screen.
Separate a request from an approval
A submitted application, a manager conversation and a final approval are different events. Reviewers need to inspect the requested period, balance and relevant context. Employees should check the recorded status instead of assuming that a conversational acknowledgement completes the workflow.
If a supported assistant helps prepare a leave request, the confirmation and normal server approval path still matter. The assistant’s text alone does not prove that the request was accepted.
Review time off alongside attendance
Use leave and holiday information when checking the attendance period. Resolve differences before payroll where possible. Avoid maintaining a separate informal balance list that diverges from the configured system.
Periodically review whether the company’s leave setup still matches its policy and workforce. Changes should be deliberate, documented and communicated rather than introduced through an unexplained balance adjustment.
